ClockOn T&A is for those who have the requirement to maintain records of time and attendance and to deliver detailed payslips. ClockOn T&A is an integral part of our payroll systems, but is also available separately to serve third party payroll systems lacking an electronic T&A “front end”. Recording of time and attendance can be achieved both locally and at remote sites using the C-Pass system. (See solution 1 below). T&A can also be employed in childcare centres, classrooms, examination halls and a variety of other circumstances.
Time & Attendance Capture SolutionsKeeping time and attendance records for 7 years is mandated by WorkChoices. Such records are vital to every employer, particularly in the event of a challenge by an ambitious employee some time down the time track following dismissal. An employer arriving at court without these records is in trouble. Recording and maintaining these using ClockOn is the first step in risk management and a very low cost form of insurance:
Solution 1 ClockOn C- Pass is the recommended solution for electronic time capture and logging. Cards or key fobs may be used for badging the C-Pass RF readers. The C-Pass system comes with a choice of three versions:
Solution 2 Time sheets can be generated in ClockOn using the Auto pay function (automatic generation of default timesheets). This implies complete trust and will suit some employers. No added cost or administrative effort is attached to this (non-hardware) solution, but the record does not accurately reflect the times of attendance or constitute a true record.
Solution 3 The PC keyboard offers a readily available no cost form of data entry capture. Times can be recorded in ClockOn with the use of a user name and password. Time entry using the keyboard is fast. Keyboard entries are available to all users as a fall back in the event of T&A hardware failure.
Solution 4 An inexpensive method of recording times in ClockOn involves the use of a keypad and a PIN (Personal Identity Number). Entering a four digit PIN is fast. Where the swapping of PIN’s between employees is a consideration, powerful deterrence is achieved using ClockOn VTSTM. This method offers the advantage of requiring no personal hardware to be carried by the employee.
Solution 5 A USB swipe card reader offers a low cost method of recording time. Employees may use their own cards. The limitations of this method are firstly the requirement for the PC to be active and secondly the need for a PC to be within a short range of the reader. This method does not function in the event of the PC or network being down or in the situation of a power failure.
Solution 6 Network devices such as TCP/IP swipe card and proximity readers have the advantage of being readily installed on the network. This method retains the attendance log when either the network or power is down.
Solution 7 Finger scanners are useful in situations where employees are not known personally to management. If misregistration of finger scans is an issue, validation of the scan attempt can be achieved with VTS.
Solution 8 Iris scanners are possibly the best form of biometric identification available. They can be used with ClockOn.
The VTS umbrella The VTS™ umbrella is a system generating synchronised video clips of employees recording their times of attendance. This solution provides the ultimate deterrent to identity theft while at the same time providing a powerful record of the time and attendance history. VTS acts as a validation process (umbrella) for less secure methods of recording attendance, such as PIN’s.
