John, can you tell us what you have gained from your involvement with ClockOn?

We appreciate some of the stuff you’ve being doing is cutting edge technology and we’ve been very happy to be part of that. We feel that you’ve got a really good system that’s ahead of its time and which has everything that we’ve wanted in a wage system.

 

What is your feeling about the time saving and cost benefit of having such a system as this?

Time sheets have always been a complete paper hazard for us. This way, if they don’t swipe, we assume they haven’t turned up. Flags are raised on early starts, late starts or non attendance and this can be followed up very easily.

 

My expectation has been that employees will trust this system because there can’t be an error made in entering their times. Would you agree?

Yes.

 

Have you developed an appreciation of staff being able to clock on remotely to your data base here. How helpful do you think that has been?

We were wondering whether we would have to have two separate systems. We are absolutely thrilled that we can use the broadband connection to give employees remote access to our main office computer where we do our wages. It is another problem solved.

 

One of the very new features of this installation has been what we call video time sheeting. I know its pretty early days, but what’s your view on it? Do you think it’s going to be useful?

This is part of the cutting edge technology that we have welcomed with open arms. We have on previous occasions had some dispute over attendances. It is very hard for us to remember back six months on just who attended and at what times; we have 40 people on the staff. It is a very important for us to have legal proof of attendance/non attendance and also it will cut out any fraudulent people entering other people’s cards and saying they were here – and this we feel is a very important option for us to have.

With 40 staff, we realise some people will be running late, but we will now have photo proof of who is entering when and it will encourage them to keep on the straight and narrow.

 

You know that we are a MYOB developer partner, distributor and user. It is nice to be able to deliver MYOB and ClockOn integrated as a bundle, not that we claim to train people in MYOB! But we have been very pleased to help Victoria with some of her MYOB issues.

Well this is the thing. ClockOn information can be exported into MYOB files and this is an all important part of our back office technology. These systems work very easily with one another.

Victoria, have you discovered anything in ClockOn that has been a bonus to you, any extra value, other than what you thought you were getting?

Well, time! It’s saving so much. And time is money.

 

We have a dentist in Victoria who said that we have saved him as much as 90% of his previous staff administration time. Have you estimated what time you might be saving?

I’d say it would be very close to that. Previously we had to employ someone to do our pays.

 

You now no longer have to do that?

No longer do that, I do it myself.

 

So there’s a wage gone?

A wage gone as well as a very competent person who would usually take a day. I can now knock over the wages for two businesses within an hour.

 

Then we’ve met our objective?

Oh completely.

 

How valuable do you think the remote Clocking on at the other store has been in the context of the overall installation?

It’s been fantastic. The other pharmacy is within close distance to our main pharmacy but it has just made it so much easier as I don’t have to stop one payroll to go over and do another. The times come through automatically to the head office database. It’s great!

 

One of the pleasures we’ve had with the video system is that quite apart from deterring employees from swapping their cards, the cameras serve as a back up if someone honestly forgets to clock on or off.

Oh, no, look! The camera system is fantastic. It is a very good back up and it’s also a comfort for the staff to know that no one else could possibly use their cards. The staff is more at ease because it is just added security for them and it’s added security for John and me.

 

Do you think the staff have felt good about this system, more comfortable with new arrangements than the old ones?

Totally. On my side I’m not chasing up time sheets, on their side it’s so much easier just to swipe their card at the start and end of the shift. One thing I want to say is that the staff at ClockOn have been absolutely fantastic. They’ve always been there and they’ve always got a smile in their voice whenever I’ve spoken to them.

Margaret, can you tell me how (as a staff member) you’ve found the new system?

Very easy.

 

Is it actually good? Do you see any advantages in it for you?

Oh yes. It’s better than filling out time sheets, because you don’t have to try and remember what hours you worked. It will be easier for me because I’m full time but more so for the casual girls if they are swapping shifts – swiping is easy. That’s it. You don’t have to think about it.

 

You’d also be comforted by the fact that when you get paid you know you have been paid correctly?

That’s exactly right.

 

And what is your feeling about the video cameras. Do you know what they are for?

So that someone else doesn’t swipe on for you.

 

Do you think that’s a fair and reasonable thing?

Oh yes, yes.

 

You don’t feel that’s an intrusion into your privacy?

No. Not at all. It’s not going to be a problem here, because we know the staff, but maybe if it would be a help if you didn’t know all your staff quite as well or had new staff. I have heard of people in other businesses swiping off for somebody else.

 

This is what is called identity theft. If you use somebody else’s card, you’re setting out with that other person to deliberately steal from your employer.

Yes.

 

So the purpose of these cameras is just to discourage people from doing that?

I don’t find it’s an intrusion of privacy at all; it doesn’t bother me in the slightest and I haven’t really heard any other member of staff say anything about it.

 

So you think it’s a good thing to have the video?

Yes I do.

 

Now the other good thing is that they store those video clips along with the pay slip records. So they can pull them up for you to prove that you were there, because it is part of your record.

So it’s for the staff member as well as the employer?

 

It cuts both ways.
