HOW DO I SUBSCRIBE TO CLOCKON?

The cost of ClockOn subscription is based on the number of active employees (head count) and not on the number of machines, locations or departments. Payments are made by credit card, monthly in advance.

CAN I VARY MY SUBSCRIPTION?

Yes. The subscription can be increased at any time but reduced no more than twice a year.

HOW DO I CANCEL MY SUBSCRIPTION?

Terminate your monthly payment authority at any time.

WHAT DOES MY MONTHLY SUBSCRIPTION INCLUDE?

Free automatic updates and email support.

WHAT DOES MY MONTHLY SUBSCRIPTION NOT INCLUDE?

The monthly subscription fee does not include hardware, establishment costs, telephone support or additional professional services.

HOW DO I GET TELEPHONE SUPPORT?

Telephone support can be included in your monthly subscription at additional cost.

HOW DO I CANCEL TELEPHONE SUPPORT?

Monthly telephone support can be cancelled by a telephone call to Support at any time.

WHAT IS THE DATA CONFIGURATION WIZARD?

This is a free software tool enabling you to install your own company and employee data for the 30 day trial.

CAN I HAVE MY COMPANY DATA CONFIGURED BY CLOCKON AUSTRALIA?

Yes, but at additional cost.

What the ‘ClockOn Enhancement Pack Fee’ is on our invoice?

The Enhancement Pack is a fixed fee (across all customers) that relates to the revision and build level updates you automatically received throughout the year. These updates contain a combination of product enhancements, bug fixes and reports and also includes EOFY compliance such as updated PAYG summaries and this year’s STP requirements.

UPDATES - FAQ

HOW OFTEN IS THE PROGRAM UPDATED?

Changes and improvements to the program are made progressively during the year. Following testing, these are immediately made available. Selecting the ClockOn icon on the your desktop automatically downloads the changes and updates your system. This has to be done on all machines and may take a few minutes.

DOES CLOCKON AUTOMATICALLY UPDATE MY TAX SCHEDULES AND OTHER ATO REQUIREMENTS?

Yes. Annual tax rates are updated and downloaded to our clients prior to the end of the financial year as per other program updates . ClockOn uses the end date of any payroll to determine the appropriate tax schedule to be applied.

DOES CLOCKON AUTOMATICALLY UPDATE AWARD AND INDUSTRY SPECIFIC COMPLIANCE?

No. Changes made to awards are infrequent and often relatively minor but automatic uploading of changes may conflict with the objectives of some employers. Clients are accordingly required to make changes to their own rule sets when applicable.

DOES CLOCKON OFFER TRUE LABOUR COST CONTROL?

Yes. Using a combination of computer graphics and powerful payroll engines, we are able to manipulate the roster during construction so as to influence and control the cost of labour as it applies to the budget.

CAN WE SAVE AND REFER TO PREVIOUS BUDGETS FOR COMPARISON?

Yes.

CAN WE ROSTER BY ROLE AS WELL AS BY EMPLOYEE NAME?

Yes. The roster display can be instantly switched between role and employee, listed in the left hand column.

CAN WE SEE IF A PERSON IS QUALIFIED FOR A SHIFT?

Yes. An employee’s qualifications and the currency of those qualifications are displayed in the roster as alert icons when appropriate.

CAN WE SEE REAL TIME EXCEPTIONS RELATING TO CLOCKED TIMES IN THE ROSTER?

Yes. If a person has clocked on late or has exceeded their break length, this is displayed as an alert (exception) in BOTH the roster and the employee timesheet.

CAN WE ROSTER BY ROOM?

Yes.

TIME AND ATTENDANCE - FAQ

ARE MY FINGERPRINTS STORED IN THE CLOCKON SYSTEM?

No. Your fingerprints are not stored as recoverable images. They are automatically translated into a random string of numbers used for identification and as such constitute no threat to privacy.

HOW DO STAFF CLOCK ON AND OFF?

Staff typically clock on and off using a high-end finger scanner. Other means of time entry include the use of RF swipe cards and fobs, keyboards and the internet.

ARE FINGER SCANNERS CONNECTED TO INDIVIDUAL PCS?

No. Each scanner is connected to the network by Ethernet rather than to an individual PC.

HOW ARE TIMES DELIVERED FROM THE FINGER SCANNERS?

The ClockOn system polls the scanners at predetermined intervals and progressively downloads the times into the employees’ timesheets.

WHAT HAPPENS TO A FINGER SCANNER IF THERE IS A POWER FAILURE?

No problem. Times recorded prior to the power failure failure are retained in the scanner until such time as the power is restored, when polling is resumed.


PAYROLL - FAQ

IS CLOCKON AN AUTOMATED PAYROLL SYSTEM?

Yes. Absolutely. It involves the seamless integration of roster operation, time and attendance recording and powerful payroll engines to generate payroll. The system is autonomous, not relying on third party resources for its functions.

CAN WE RUN MULTIPLE PAYROLLS CONCURRENTLY?

Yes. Payrolls can be run separately for different locations or departments and also for individual employees.

DOES CLOCKON RUN PAYG SUMMARIES AT END OF YEAR?

Yes. PAYG summaries are run routinely as an element of end of year data processing.

CAN CLOCKON PARK A PAYROLL?

Yes. Payroll processing can be interrupted and recommenced at a later time.

CAN WE ROLL BACK A PAYROLL TO CORRECT USER ERRORS?

Yes. Payrolls can be rolled back through single or multiple pay periods.

DOES IT INTEGRATE WITH MYOB, QUICKBOOKS OR XERO?

Yes. ClockOn exports payroll summaries and other journal entries to these accounting systems. It can also import data from these for configuring ClockOn.

DO WE MANAGE SUPER AND OTHER ENTITLEMENTS?

Yes. ClockOn both calculates and reports on super as well as exporting contributions directly to the employees’ funds.

DO WE MANAGE ELECTRONIC FUNDS TRANSFER TO EMPLOYEES ACCOUNTS?

Yes. At the conclusion of payroll processing, ClockOn generates ABA files which are used to transfer pay into employee’s bank accounts.

DEPLOYMENT AND IMPLEMENTATION -FAQ

WHAT IS INVOLVED IN SETTING UP A TRIAL VERSION?

We provide you with an Implementation Wizard, an electronic assistant which will lead you through the process of installing your data into the trial version. In the process of installing the data you are able to exit and return at a later time with no loss of your work. Proceeding to the next screen will automatically save the current page. A help file is included with the wizard. When the data entry is completed you will be able to open ClockOn and proceed with its normal usage.

CAN THE SYSTEM RUN SIMULTANEOUSLY IN MULTIPLE LOCATIONS?

Yes. The system is designed to run in multiple locations either locally or widely distributed.

CAN THE SYSTEM BE ACCESSED REMOTELY?

Yes. The system can be accessed remotely both by the user (for example from home via a laptop computer) or by us for purposes of technical support.

CAN THE SYSTEM BE CONFIGURED FOR MULTIPLE ADMINISTRATIVE ROLES?

Yes. ClockOn offers multiple security roles enabling devolution of specific responsibilities to individual staff members. The individual roles allow selective access to specific functions and reports.

WHERE IS THE SYSTEM HOSTED?

The system typically resides on a server at a head office. It may also be remotely hosted as a virtual cloud application. The data is accessed in a client server environment.

HOW IS TRAINING DELIVERED?

Training is typically delivered on line, either face to face, one on one, or in a group environment in webinar format. On-site training is also available.

HOW IS SUPPORT PROVIDED?

Support is typically provided through a support desk team connected via a 1800 telephone line operated during normal business hours. In some circumstances, email communication is used.

IS THE SYSTEM WEB BASED?

Partially. The system by design is not fully web enabled, but uses a number of web based services. Employees can log their times and access their rosters and other data using the Employee Web Portal.
