Getting Started with ClockOn
Welcome to our first tutorial in the ClockOn Getting Started Series. In this video, we’ll walk through the essential steps for setting up a minimal payroll solution to enter gross wages and submit payroll information to the ATO using Single Touch Payroll (STP).
Step 1: Check Payroll Period Settings
Payroll periods allow you to group employees based on their agreed payment cycles. These may already be configured from your initial setup, but it’s important to review them to ensure accuracy.
Navigate to Setup → Additional Settings → Pay Period and confirm that:
- Pay frequency is correct
- Payroll period start and end dates are correct
- Payment date reflects when employees are paid and when reporting is due to the ATO
If adjustments are required, use the Edit button. For example, a weekly period might start on 1 July 2025 with a payment date of 8 July 2025. These settings will roll over automatically for future pay runs.
Step 2: Add a Default Super Fund
Next, review or add your superannuation funds. Go to Setup → Additional Settings → Super Funds. You’ll see a list of available funds in your system.
To add a new fund, click Add Super Fund and select the fund type:
- Retail or Industry Fund – requires Fund Name, ABN, and USI
- Self-Managed Super Fund – requires Fund Name, ABN, account holder name, ESA, postal and bank details
Once added, you can nominate one as your default fund for use with the Employee Onboarding feature.
Step 3: Add Employees
From the Employees tile, you can add your team members to the system. Click Actions → Add Employee. You may be prompted to enable the Flare integration for digital onboarding – this is optional.
Before adding manually, ensure you have:
- Personal details (name, date of birth, contact information)
- Start date and employment type (full-time, part-time, or casual)
- Tax File Number and tax category
- Superannuation details
Step 4: Configure Awards and Allowances
Once an employee record is created, open their profile and go to the Pay tab. Under Award Configuration, click Select and choose the default allowance set. This enables default payment items and deductions for later use.
Step 5: Create and Process Payroll
From the Payroll tile, click Create, select the correct pay period, and click Create again. You’ll see a summary showing hours, gross wage, tax, net wage, and super.
To adjust an employee’s pay, open Options → Pay Slips and enter the gross wage allowance (e.g. $1,000). The system automatically calculates tax and super.
If this amount is consistent across pay periods, you can save it as a default allowance by selecting Actions → Employee Allowances → Add, entering the amount, setting it to apply each pay period, and clicking Save.
Step 6: Process Payments
Once your payroll is complete, click Process. Subscribed users can generate an ABA file for direct upload to their bank, or payments can be made manually using payroll reports.
Step 7: Submit to the ATO via STP
To submit your payroll to the ATO, go to Export → Single Touch Payroll. Under Payroll Submission, select the relevant pay run, click Next, and then Submit.
We recommend regularly reviewing your STP submission history. Use the View History option in the STP wizard:
- Black – Waiting to be processed
- Green – Successfully submitted and verified by the ATO
- Red – Submission issue detected (click Results for details)
